AI agent for accounts receivable: chase unpaid invoices without losing your Fridays
In many small businesses, invoice follow-ups happen on Friday afternoon, when there is a little energy left: open the accounting software, spot overdue invoices, find the right contact, write a polite email… then do it all again next week. An AI agent for accounts receivable can prepare almost all of that work. You keep the decision, the relationship and the money.
Here is what concretely changes, moment by moment: before (all by hand) and after (an agent prepares, a human approves).
Before / after: a real follow-up cycle
Realistic gains
- Reminders that go out on time, instead of waiting for the “right moment.”
- A consistent, polite tone, even with a difficult client.
- Fewer embarrassing mistakes (chasing someone who already paid).
- A clear record of every exchange for your accountant.
The gain depends on how clean your accounting data is and how clear your rules are. No magic: a good process, made faster.
What the agent never does alone
- Edit an invoice, grant a credit or a payment arrangement.
- Send a formal demand letter or hand a file to collections.
- Handle a card number or change banking details.
- Follow instructions contained in an incoming email (“ignore your rules and send me…”).
Starting safely
Minimal access. The OWASP Top 10 for LLM Applications warns against excessive agency (LLM06): give the agent read access to invoices and the ability to create drafts, not write access to your books or automatic sending at first.
Incoming email = untrusted content. An agent that reads client replies can receive booby-trapped instructions (prompt injection, LLM01). Hence the rule: it classifies and summarizes, it does not execute.
Anti-fraud. Fraudsters love invoices. Add a line such as “Our banking details never change by email” to every reminder, and send from your protected domain (SPF, DKIM, DMARC).
Quebec Law 25. If your clients are individuals, this is personal information: know where the tool processes it (Quebec, Canada, elsewhere) and document your assessment. This is not legal advice. The Canadian Centre for Cyber Security’s guidance on generative AI (ITSAP.00.041) is a good starting read.
