AI agent for employee onboarding: the first-week journey
A new hire at an SMB often means an improvised week: the email account isn’t ready, nobody has time to answer questions, and mandatory training slips through the cracks. An AI agent for employee onboarding can orchestrate everything that repeats from one hire to the next, while you take care of the human side.
An AI agent is a software assistant that follows instructions, checks your tools (calendar, Microsoft 365, employee handbook) and prepares work for you. For onboarding, its role fits in three words: prepare, guide, follow up.
A new employee’s journey, with an AI agent
Before day one (D-5)
The agent prepares the list of accounts to create (email, Teams, business apps) and sends it to the manager for approval. It books the first week’s meetings in calendars.
Day 1
Personalized welcome message, the week’s plan, key contacts. The new hire asks the agent questions (“Where’s the expense form?”) instead of interrupting colleagues.
Days 2 to 5
Short capsules on how you do things, reminders for mandatory training (including phishing awareness) and tracking of documents to sign.
Day 30
A short end-of-month survey to the employee and a summary to the manager: what’s missing, what went well.
What you actually gain
- Fewer interruptions: basic questions (“How do I book a room?”) go to the agent, which answers from your documents.
- Nothing forgotten: access, signatures, training and equipment follow the same list for every hire.
- Productive sooner: from day 1 the new hire knows what to do and who to talk to.
- Better security: phishing training happens in week one, not three months later, and access is approved instead of copied from a colleague.
Starting safely: 3 rules
- Human approval for any access creation or change.
- Minimal access: the agent reads the handbook, not confidential HR files.
- Activity log: keep a record of what the agent prepared, sent or requested.
Frequently asked questions
Does the agent create accounts itself?
Not at first. It prepares the request; a person approves it and IT carries it out. You can automate more later, once trust is built.
What data does the agent see?
Only what it needs: the employee handbook, the tool list, calendars. Not payroll files or performance reviews. We follow Quebec’s Law 25 and favour hosting in Canada.
How long does it take to set up?
For a first pilot, count 2 to 4 weeks: gather your onboarding documents, configure the agent, then test it with a real hire.
What if the agent gives a wrong answer?
It answers from your documents and cites its source. If it doesn’t know, it says so and routes to a person. We review its answers during the pilot.
What about when someone leaves?
The same agent can prepare the reverse list: access to remove, equipment to collect. That’s often where SMBs forget accounts that are still active.
