AI agent for expense reports: your receipts handled, no more shoebox

In many small businesses, the expense report is the task everyone puts off. Technicians keep their receipts in the sun visor, the bookkeeper chases missing slips, and the boss approves everything in bulk on a Friday night. An AI agent for expense reports doesn’t change your rules: it does the sorting, reading and checking, and leaves the decision to you.

In practice, the employee photographs the receipt with their phone. The agent reads it, files it, splits the taxes, spots what’s off, then prepares a list for approval. Here’s what it looks like, what you can hand it and how to start without risk.

Month-end, before and after

⏪ Month-end, without an agent

  • An envelope of crumpled receipts in the van, two missing.
  • Mileage rebuilt from memory, using the calendar.
  • GST and QST copied by hand, receipt by receipt, for your accountant.
  • The same client lunch paid twice: once on the company card, once claimed for reimbursement.
  • Employees wait three weeks for their money.

⏩ Month-end, with an AI agent

  • Each receipt is photographed at the time of purchase, then read by the agent.
  • Trips are suggested from calendar appointments; the employee confirms.
  • Taxes are split and sorted: your accountant gets a clean file.
  • The duplicate is flagged before it is reimbursed.
  • You approve a list in ten minutes, and the reimbursement goes out.

One receipt, five checks

Take an ordinary hardware store receipt, photographed by a technician on the way out of the store:

1/2 in. PEX fittings (x6) …….. 38.94

Teflon tape ………………….. 4.29

3GST 5% ………………………. 2.16

3QST 9.975% …………………… 4.31

TOTAL ………………………. 49.70

4VISA **** 4417

5Kevin’s note: “Tremblay job site”

What the agent does with it

  • 1It recognizes the store and suggests the “Job site materials” category.
  • 2It checks that the date falls within the expense report period, and that no identical receipt already exists.
  • 3It splits GST and QST and checks that the total adds up. If an amount doesn’t match, the receipt goes to “to review”.
  • 4It recognizes the company card: nothing to reimburse Kevin, but the expense must be matched to the statement.
  • 5It links the expense to the “Tremblay” client file so it can be billed back.

Each of these steps takes the agent a few seconds, but several minutes for a person rereading a faded receipt. And it’s precisely on these details, taxes and duplicates, that mistakes get expensive.

The tracking board of your AI agent for expense reports

Instead of a pile of receipts, you see a board where each expense moves from one column to the next. The agent works in the first two; you only step in at the third.

Fictional example, replace with your own numbers: 120 receipts × (4 min − 1 min) = 360 minutes, or 6 hours a month. Add your accountant’s time spent finding the taxes, and the time spent chasing missing receipts.

🔒 Law 25: your receipts contain personal information

Names of lunch guests, the last four digits of a personal card, client addresses on a trip: an expense report says a lot. Before choosing a tool, ask where the data is hosted, who can access it, how long it is kept and whether it is used to train a model. Limit the agent’s access to the expense report folder, nothing more. For how long to keep supporting documents, follow CRA and Revenu Québec rules, and confirm with your accountant.

What it does well, and what it must not do

⚖️ Gains and limits of an AI agent for expense reports

▲

✅ What it does well

  • Read photographed receipts, even crumpled ones, and extract date, store, taxes and total.
  • Spot duplicates, amounts that don’t add up and missing receipts.
  • Suggest mileage from appointments and addresses.
  • Politely remind employees who haven’t sent their receipts.
  • Prepare a clean batch for your accountant.

⚠️ What it must not do

  • Approve an expense or trigger a reimbursement on its own.
  • Decide whether an expense is tax-deductible: that’s your accountant’s job.
  • Guess an unreadable amount: it should ask for a new photo.
  • Keep receipts in a tool when you don’t know where the data lives.
  • Be used to monitor employees beyond their expenses.

Verdict: the agent sorts and checks; a person approves, and your accountant has the final word on taxes.

How to get started

Start safely

The 5 starting rules for your AI agent for expense reports

  1. Start with two or three employees and a single expense type (for example fuel and mileage) for one month.
  2. Write your policy on one page: caps, client meals, required receipts. The agent applies it; it doesn’t invent it.
  3. Keep human approval for every expense report, even small ones.
  4. Turn on two-factor authentication for the tool and for the team’s accounts.
  5. Have your accountant review the first exported batch before rolling it out.

After a month, compare your time-recovered estimate with reality, then decide whether to expand.

The agent usually plugs into tools you already have: Microsoft 365 for calendar and email, your accounting software for export. If you already use an AI agent for supplier invoices or for timesheets, expense reports are often the logical next step. For the big picture, see our 5 tasks to hand off to AI agents.

At NeoTech, our AI and automation consulting service helps you choose the tool, set it up with limited access and connect it to your Microsoft 365 services.
