AI agent for meeting notes: from rough notes to action items and follow-ups
A good client meeting often ends with a page of messy notes: arrows, names, a scribbled “Friday?”. Three days later, nobody remembers who was supposed to send what, and the client is still waiting for confirmation. An AI agent for meeting notes turns those rough notes into a clear summary, decisions, tasks with owners and follow-up emails ready for approval.
An AI agent is a software assistant that follows instructions and works inside your tools (Microsoft 365, Outlook, Teams, your CRM). Here its role is simple: read, structure, prepare, remind. You always have the final say.
The mockup: rough notes annotated by the agent
Here are meeting notes the way people really take them, and what the agent picks out. The company and people are fictional.
📝 Raw notes (fictional example)
Client meeting — Beaulieu Renovations (fictional example) — Tuesday 10 a.m.
– went over bathroom quote, client ok with budget
1– going with tile option B, not A
2– Mark sends revised plan… Friday?
3– client wants written confirmation of site dates
4– (Julie: discuss separately, apprentice’s pay to review)
5– ventilation: check with electrician, nobody assigned
Legend: what the agent does with them
- 1Decision: the agent records it in the summary as one clear sentence.
- 2Owner and deadline: Mark, Friday. The agent creates the task and a reminder the day before.
- 3Client follow-up: the agent drafts the confirmation email, which waits for your approval before sending.
- 4Sensitive information: internal HR topic, the agent leaves it out of the summary and the client email.
- 5Open question: no owner, the agent flags it so you can assign someone.
What the agent prepares, what you approve
| 🤖 What the agent prepares | ✅ What you approve |
|---|---|
| 5- to 10-line meeting summary | That nothing important is missing and the tone is right |
| List of decisions | That they reflect what was actually decided |
| Tasks with owner and deadline | Names and dates, before tasks are created |
| Follow-up email to the client or team | The final text, then you click “Send” |
| Client record update (CRM) | The changed fields, especially amounts and dates |
| Reminders before deadlines | Nothing: they only go to your team, not to the client |
The principle: the AI agent for meeting notes does the clean-up work, but nothing goes out to a client without your click. It’s the same approach we recommend for the first tasks to give an AI agent.
3 rules to start safely
- Human approval before anything is sent. Client emails, CRM updates, invitations: the agent prepares drafts, a person approves them.
- No confidential HR or payroll content in the notes you give the agent. Salaries, reviews and medical files stay out of the tool. Configure the agent to exclude those topics, as with note ④ in the mockup.
- Canadian hosting and Quebec’s Law 25. Meeting notes contain personal information about your clients. Choose a solution hosted in Canada, limit who has access and set a retention period.
Gains and limits of an AI agent for meeting notes
✅ What you gain
- Follow-ups sent the same day, not three days later
- Clear tasks with a name and a date
- A searchable history of decisions in the client record
- Less time spent cleaning up notes after every meeting
⚠️ Limits to keep in mind
- The agent only understands what’s written or recorded: vague notes produce a vague summary
- It can assign a task to the wrong person: that’s why you check names and dates
- Recording a meeting requires participants’ consent
- It doesn’t replace your judgment about what should, or shouldn’t, be said to the client
If you already use Microsoft 365 Copilot, some of these features exist in Teams; a custom agent goes further by connecting your notes to your CRM and your email templates. See also the company memory AI agent example and our AI and automation consulting.
