AI agent for order tracking: answering “where is my order?”

“Hi, where is my order?” If you sell products, you get this question several times a day: by email, through the website form, over the phone. The answer already exists somewhere, in your order system and on the carrier’s website. But someone has to open the file, copy the tracking number, check the status and write back to the customer. Five minutes each time, often right when the team is busy preparing the day’s shipments.

An AI agent can answer that question for you, with real information, and leave your team the cases that need judgment: a lost parcel, an upset customer, an address to change. Here is how an AI agent for order tracking works, what to allow or forbid, and how to start without risk.

An AI agent for order tracking, in practice

The following example is fictional, but it reflects a typical conversation on an online store’s chat:

📞 Website chat — fictional example

Customer

Hi, I ordered an office chair last week and haven’t received anything. Order 48213.

AI agent

Hello! To protect your information, can you confirm the delivery postal code?

Customer

AI agent

Thank you. Your order 48213 shipped on Tuesday. According to the carrier, the parcel is in transit and delivery is expected Thursday. Here is the carrier’s official tracking link.

Customer

2Can I have it delivered to my office instead of my home?

AI agent

I’m passing your request to Julie from our customer service team, who will reply by 3 p.m. today. I’ve attached a summary of your order for her.

What to notice

  • 1The agent verifies identity before giving a status: an order number alone is not enough, because it can circulate.
  • 2The agent never changes an address. It is a sensitive request, often used in fraud: it goes to a person.

Behind that answer of a few seconds, the agent did the same work as an employee, always following the same steps:

💬

Question received

Email, chat or form: the agent picks out the order number or customer name.

🔐

Identity checked

Postal code, account email or invoice number, according to your rules.

📦

Status retrieved

Read-only lookup in your order system, then tracking with the carrier.

✉️

Clear answer

Status, expected date, official tracking link, in the customer’s language.

🙋

Sensitive case

Delay, damaged parcel, address change, unhappy customer: handed to a person.

What the agent can do, and what it must never do

The success of an AI agent for order tracking depends mostly on its permissions. It needs to read a lot, but act very little:

Two rules deserve to be written down. First, the agent never gives delivery information without an identity check: an address and a delivery date are personal information under Quebec’s Law 25. Second, it only sends links to the carrier’s official website or yours, never a shortened or third-party link.

Before and after, over a typical week

⏪ Without an agent

  • “Where is my order?” questions pile up in the inbox and jump ahead of everything else.
  • Answers come the next day when the question arrives in the evening or on the weekend.
  • Delays are discovered when the customer complains.
  • Each employee answers their own way, with more or less detail.

⏩ With an agent

  • Simple questions get an answer within minutes, at any hour.
  • The team only sees cases that need a decision, with the summary ready.
  • Each morning, the agent can spot parcels the carrier flags as delayed and draft a heads-up message for approval.
  • Answers always follow the same template, in your company’s tone.

Real gains depend on your order volume and the quality of your data. If tracking numbers are not always entered in the system, the agent cannot make them up: that is often the first clean-up to do. If orders still reach you by email, see our article on the AI agent for order entry; for after delivery, the one on product returns.

Getting started safely

  • Start with a single channel, for example the emails arriving in your shared inbox, before adding chat.
  • Draft mode for two to four weeks: the agent prepares replies, a person reviews and sends them. You adjust the tone and edge cases.
  • Read-only access to the order system, with an account dedicated to the agent and access keys you can revoke.
  • A log of every reply: which order, which information source, which message was sent.
  • A visible way out: the customer can always ask to speak to a person.

For the general method (pick the task, set limits, measure), our guide on tasks to give an AI agent in a small business lays out the steps.

Frequently asked questions

Q1. Do I need an online store to use a tracking agent?

No. The agent can answer emails and read orders in your management software or accounting system, as long as there is a way in, such as an application programming interface (API) or a regular export.

Q2. What if the carrier gets it wrong?

The agent reports what the carrier says, without promising more. As soon as a parcel shows as delayed, in exception, or delivered when the customer says nothing arrived, the case goes to a person.

Q3. Does the agent answer in French?

Yes. It answers in the customer’s language, using the same templates approved in English and French.

Q4. Who sees my customers’ data?

Only what the agent needs to answer. We choose a provider and hosting region that fit your obligations, and avoid sending unnecessary information to the AI model.
