AI agent for deadlines: never miss a contract, insurance or permit renewal again
The domain name that expires on a Friday night, taking your website and email down with it. The subscription that renewed automatically for another year because the 90-day notice period passed long ago. The insurance certificate a client requires before signing, expired two weeks ago. In an SMB, these dates are scattered across PDFs, emails, invoices and portals. An AI agent for deadlines reads those documents, extracts the dates that matter (end date, notice period, automatic renewal), puts them in a single calendar and reminds you at the right time, with a draft ready.
An AI agent is a software assistant that follows your rules and works inside your tools. Here its role is limited to reading, extracting, reminding and preparing. It signs nothing, cancels nothing and pays nothing.
What an AI agent for deadlines reads in a contract
Fictional example: the phone service contract of Ateliers Laurentides, a 15-employee SMB in Mirabel (fictional). On the left, the PDF excerpt as it arrives by email; on the right, the record the agent creates from it.
SERVICE AGREEMENT — TÉLÉCOM BORÉAL (FICTIONAL) — p. 4
112.1 Term. This agreement is entered into for a term of thirty-six (36) months starting December 1, 2024.
212.2 Renewal. At expiry, the agreement is automatically renewed for successive twelve (12) month periods,
3unless either party sends written notice of non-renewal at least ninety (90) days before the end of the current period.
412.3 Rates. Rates are adjusted annually based on the consumer price index.
🗂️ Deadline record created by the agent
The agent always cites the page and section: you can check the record in 10 seconds.
The key is line ③: the real date to remember isn’t November 30, 2027, but September 1, 2027. After that day, the contract rolls over for 12 months, whether you still need it or not.
The 12-week radar
Once the documents are read, the agent keeps a single calendar. Here’s what the owner of Ateliers Laurentides could have seen on a Monday morning, for the next 12 weeks.
| Deadline | W1 | W2 | W3 | W4 | W5 | W6 | W7 | W8 | W9 | W10 | W11 | W12 |
|---|---|---|---|---|---|---|---|---|---|---|---|---|
| Website domain name | 🔔 | ⛔ | ||||||||||
| Liability insurance certificate requested by a client | 🔔 | ⚠️ | ⛔ | |||||||||
| Server warranty | 🔔 | ⛔ | ||||||||||
| Heat pump maintenance contract | 🔔 | ⚠️ | ⛔ | |||||||||
| Microsoft 365 licences (annual subscription) | 🔔 | ⛔ | ||||||||||
| Warehouse lease (renewal option) | 🔔 | ⚠️ | ⛔ |
🔔 reminder sent · ⚠️ notice or decision deadline · ⛔ due date (end, expiry). W1 = current week.
The reminder ladder: from D-90 to D+1
A single reminder the day before is useless when it takes 60 days to compare offers. The agent follows a ladder calculated from the real deadline (the notice date), not the end date.

Home-made spreadsheet or AI agent?
| Criterion | Shared Excel spreadsheet | AI agent for deadlines |
|---|---|---|
| Entering dates | By hand, whenever someone thinks of it | Extracted from PDFs and emails as they arrive, with the page cited |
| Cancellation notice | Often forgotten: only the end date gets noted | Calculated automatically from the clause |
| Reminders | None, or an Outlook alert set up by hand | D-90 to D+1 ladder, sent to the right person |
| Employee leaves | The file becomes an orphan | A backup owner is assigned to every deadline |
| Traceability | Hard to know who decided what | History of decisions, documents and emails sent |
3 rules to start safely
- The agent prepares, you decide. It signs, cancels and pays nothing. Every email to a vendor goes out from your mailbox, after you’ve read it.
- Limited access. Give it read access to a dedicated folder (for example a “Contracts and deadlines” SharePoint library), not to your whole mailbox or your bank accounts.
- Data hosted in Canada, and human checks at first. Contracts contain confidential information. Choose a tool that hosts data in Canada and keeps a history. For the first 30 days, have every record checked: an AI can misread an ambiguous clause.
Where to start? Gather your 20 most important contracts and policies in one folder, let the agent produce the records, correct them together, then turn on reminders for the five deadlines that would cost you the most if you missed them. In half a day, the radar is in place.
An AI agent for deadlines pairs well with the AI agent for supplier invoices: one watches what you pay, the other what you’ve committed to.
