AI agent for lead follow-up: no quote request left behind

Friday, 6:40 p.m. A quote request comes in through your website form. The office is closed, the weekend goes by, and on Monday the email is buried under thirty others. On Tuesday, you call back. The client has already signed with someone else: that someone had answered on Saturday.

An AI agent for lead follow-up makes sure no request falls through the cracks: it acknowledges right away, builds the record, offers appointment slots and prepares follow-ups at the right time. You approve and you sell. A fictional example of a heat pump installer in Laval.

The same request, two different weekends

⏱ Friday 6:40 p.m. ⏱ + 5 min ⏱ Saturday morning ⏱ Tuesday (D+4) ⏱ D+10 ⏱ D+30
Before The form lands in info@, between two invoices. Nothing. Nothing: the office is closed. You stumble on it while looking for something else. You call back. The client already signed with a competitor who answered on Saturday. Nobody knows this request ever existed.
With the agent The agent creates the lead record and spots the missing details. Acknowledgement sent (a template you approved once and for all), with 3 visit slots. The client picked a slot. The appointment is in your calendar. Visit done. The agent has drafted the follow-up: you approve it in one click. No reply? A follow-up draft is ready, in your approval queue. The file is closed as “lost” or “won”, with the reason. You finally know where you stand.

What an AI agent for lead follow-up understands from a request

Clients don’t write like a form. The agent reads the message and turns it into a clear record, flagging what’s missing instead of guessing.

Request received through the website

From: Website form, Friday 6:40 p.m.

1“Hi, our old heat pump has been making a terrible noise for a week.”

2“Semi-detached house in Sainte-Rose, two floors.”

3“We’d like to replace it before the deep cold.”

4“Please call me back in the evening if possible. — Martine”

Your morning approval queue

Every morning, the day’s drafts are waiting for you. Approve, edit or skip: two minutes with your coffee.

📥 To approve: 3 messages

Martine G., Sainte-Rose D+1 follow-up

Visit follow-up: your heat pump quote

“Hi Martine, thanks for having us on Tuesday. As promised, here’s the quote for the replacement…”

✔ Approve✎ Edit✕ Skip

Daniel P., Fabreville D+10 follow-up

Checking in: did you get a chance to look at our proposal?

“Hi Daniel, I just wanted to make sure you received… If the timing isn’t right, just tell me and I won’t follow up again.”

✔ Approve✎ Edit✕ Skip

Sophie L., Terrebonne Missing info

Your request: a few details so we can advise you well

“Hi Sophie, to prepare the visit, could you tell us the age of your current system…”

✔ Approve✎ Edit✕ Skip

Fictional example. Nothing goes out without your click, except the acknowledgement whose template you approved.

⚖️ The anti-spam rule (CASL), without the jargon

In Canada, the anti-spam law (CASL) governs commercial emails. An inquiry or quote request lets you follow up with that person for six months: that’s implied consent, tied to their request.

Every message must clearly identify you and offer a simple way to stop receiving them. The agent applies these rules to every draft and never adds a lead to a newsletter without express consent.

What you actually gain

  • A reply the same evening, even when the office is closed, without you watching your inbox all weekend.
  • Zero forgotten requests: every request has a record and a status, all the way to “won” or “lost”.
  • Follow-ups that actually go out, at the right time, instead of sitting on the “when I have two minutes” list.
  • A clear view: where your best clients come from, and why you lose the others. The natural next step is the AI agent for quotes.

Your questions

Q1. Does the agent send emails on its own?

Only the acknowledgement, whose template you approved once. Everything else (follow-ups, check-ins, replies to a question) waits for your approval in a queue. You can also keep everything on approval at first.

Q2. What if the client says “not interested”?

The agent closes the file, records the reason and never follows up again. That’s a rule written down from day one, not an option.

Q3. Do I need new customer management software?

Not necessarily. The agent can keep its records in a simple Microsoft 365 list or in the software you already use. We start with what you have.

Q4. What about phone requests?

They count too. Your receptionist or your AI receptionist agent creates the record, and follow-up starts from there.

Q5. Where does my leads’ data go?

It stays in your Microsoft 365 environment, in Canada, with access limited to the requests mailbox and the leads folder. Under Quebec’s Law 25, that’s the baseline: you know where the information is and who can reach it.

Where to start: four steps

1

Gather your front doors

Website form, info@, Messenger, phone calls: list them. The agent can only follow what it can see.

2

Write your three templates

Acknowledgement, post-visit follow-up, check-in. In your words, with your tone. The agent uses them as a base; it doesn’t make them up.

3

Set the follow-up rules

The maximum number of follow-ups (two is often enough), how far apart, and when the file is closed.

4

Start with full approval

Two to three weeks where every message goes through you. When you have nothing left to correct, you release the acknowledgement, and only that.

Requests coming in through your website, email or Facebook, and follow-ups that depend on your Friday-night memory? Let’s meet: we’ll look at where your requests come from, what gets lost along the way and what an AI agent can take on for you, safely, with your approval on every message.
