AI agent for service reports: from ticket notes to an approved client report

The technician just finished the job. The client wants a summary, accounting wants the parts list, and the report… will wait until tonight. An AI agent for service reports changes that routine: when the ticket is closed, it drafts the client-facing report from the notes, the parts used and the checklist photos. A person approves it, then the report goes out.

An AI agent is a software assistant that follows your rules and works inside your tools (ticketing software, inventory, Outlook). Here its role is limited to drafting, checking and flagging: it sends nothing to the client without your go-ahead.

📋 Mini case: Thermo-Services Rive-Nord, a field service business (fictional)

Thermo-Services Rive-Nord services commercial heating and refrigeration systems for restaurants, grocery stores and office buildings. The team has 9 technicians and one administrative assistant. Each technician handles 4 to 6 jobs a day.

The problem: service reports were written at night, from notes scribbled in the truck. Some went out two or three days later; others missed a replaced part… which then never got billed. And clients called to ask “so what exactly was done?”

Outcome sought: a clear report, ready for approval 15 minutes after the job ends, with every part and photo in the right place.

Before / after: the same job, two reports

⏪ Before: the report written at night, from memory

  • The technician finishes the job and moves on to the next one
  • The report gets written at night, from memory, using ticket notes
  • Parts used are sometimes forgotten, so never billed
  • Photos stay on the technician’s phone
  • The client gets a report 2 to 3 days later, sometimes full of jargon

⏩ After: the draft prepared by the AI agent

  • The technician closes the ticket: notes, scanned parts, checklist photos
  • The AI agent drafts a service report in plain language
  • It compares ticket parts with inventory and flags any mismatch
  • It checks that every required photo is there (before/after, nameplate)
  • The supervisor approves in 2 minutes; the client gets the report the same day

What the draft report looks like

Here’s a typical draft produced by the agent (fictional example). The badges match the legend.

📝 Service report — DRAFT, awaiting approval

1Client: Épicerie Beaulieu (fictional), Sainte-Thérèse — Ticket #4418, Oct. 15, 9:10 to 10:25 a.m.

2Reason: walk-in cooler at 7°C instead of 3°C (reported by the client at 7:40 a.m.).

3Work done: evaporator fan replaced, coil cleaned, temperature back to 3°C after 40 min.

4Parts: 1 fan motor (ref. VF-220), 1 filter. ⚠️ The ticket also mentions a door gasket: not in the inventory pulled. To confirm.

5Photos: before ✅ · after ✅ · nameplate ❌ missing — ask the technician.

6Recommendation: replace the worn door gasket within 30 days (quote for you to prepare).

Legend: what the agent does in each section

  • 1Identification taken from the ticket: client, number, times. Nothing invented.
  • 2Reason for the call, as noted when the ticket was opened.
  • 3Work done rewritten in plain language from the technician’s notes.
  • 4Parts checked against inventory: the agent flags the gap instead of fixing it itself.
  • 5Photo checklist: the agent ticks what’s there and names what’s missing.
  • 6Recommendation proposed; the quote remains your call.

AI agent for service reports: the agent proposes, you approve

🤖 The agent proposes ✅ You approve
Draft the service report from the ticket notes You review and fix the tone or the facts
List parts used and flag gaps with inventory You decide: forgotten part, typo or return
Check the required photo list You decide whether the report can go out without a photo
Turn technical jargon into client language (FR or EN) You confirm nothing important was oversimplified
Propose a recommendation or follow-up You decide whether there’s a quote, and at what price
Send the report to the client or change the invoice Never without your explicit approval

3 rules to start safely

  1. Human approval before every send. The report stays an internal draft until a supervisor approves it. The agent never changes an invoice.
  2. Access limited to what’s needed. The agent reads the ticket, the parts list and the job photos; not HR files, not payroll, not other clients.
  3. Quebec’s Law 25 and Canadian hosting. Reports contain names, addresses and sometimes photos of private premises. Host the data in Canada, log access, blur or exclude photos showing people and set a retention period.

✅ What you gain

  • Reports sent the same day instead of 2 to 3 days later
  • Fewer forgotten parts, so less lost revenue
  • Consistent, readable reports from one technician to the next
  • Evenings freed up for technicians and admin staff

⚠️ Limits to keep in mind

  • The agent only knows what’s written: 3-word notes make a thin report
  • It can misread an in-house abbreviation, hence the approval step
  • It doesn’t replace the technician’s judgment on equipment condition
  • You need to define the report template and photo list before starting

An AI agent for service reports closes the loop opened by the AI agent for field technician scheduling: one organizes the day, the other documents each job. To pick your first tasks, see which tasks to give an AI agent safely, or our AI and automation consulting.
