AI agent for translation: your documents in French and English, without retyping everything

Monday morning, a Toronto client asks for your spec sheet in English. Wednesday, it’s a quote for an Ottawa contractor. Friday, the website’s “Services” page needs updating… in both languages. In a Quebec small business, translation often happens in the evening, done by the most bilingual person on the team, between two other tasks.

An AI agent for translation doesn’t replace that person. It prepares a draft faithful to your vocabulary, checks the numbers and points out the sentences to review. Here’s what it looks like, what you can hand it and how to start safely.

What an AI agent for translation does, by example

A fictional example: a countertop company in Terrebonne has a product sheet translated. On the left, the original; on the right, the agent’s draft, with its notes.

Original (French)

5Fiche produit : Comptoir Quartz Nordik

1Comptoir en quartz de 30 mm, fini mat.

2Délai de fabrication : 10 jours ouvrables après la prise de mesures.

3Soumission valide 30 jours.

4Garantie limitée de 10 ans, voir conditions.

⇄

Agent’s draft (English)

5Product sheet: Nordik Quartz Countertop

1Quartz countertop, 30 mm, matte finish.

2Lead time: 10 business days after measurements are taken.

3Quote valid for 30 days.

410-year limited warranty, see terms. ⚠️ To be reviewed

What the agent did, point by point

  • 1Term enforced by your glossary: “countertop”, never “counter top” or “bench”.
  • 2Numbers and units copied as is, then checked automatically: 30 mm, 10 days.
  • 3“Soumission” rendered as “quote”, as in all your previous quotes.
  • 4Warranty clause: the agent translates it but flags the sentence “to review”. A warranty is a commitment.
  • 5The product name “Nordik” is never translated.

The difference from an online translator is point ④: the agent knows a warranty clause commits the business. It translates, but it asks for a human review.

The glossary: 30 minutes that change everything

Quality comes mostly from the glossary. It’s what avoids false friends and keeps the same word from one document to the next.

What to hand it, and what to keep

🟢

The agent translates, you skim

  • Routine emails to clients and suppliers
  • Product sheets, once the glossary is in place
  • Internal notes, minutes, summaries of documents received in English

Gain: from a few hours to a few minutes

🟡

The agent translates, a person reviews

  • Quotes and proposals
  • Website pages, newsletter, posts
  • Procedures and safety instructions for employees

Review: 10 to 20 minutes per document

🔴

A human decides

  • Contracts, warranty terms, legal documents
  • Official documents required by an agency
  • Sensitive messages: complaint, dispute, claim

The agent can prepare a draft, never the final version

🔐 Personal information: the question to ask before you start

A quote or email often contains a name, an address, a phone number. If the tool processes that information outside Quebec, Law 25 requires assessing the risks before sharing it. The simplest route: a business service tied to your Microsoft 365 or hosted in Canada, with a clear contract on data retention.

Four myths about AI translation

❌ Myth 1

“A free translation tool does the same thing.”

✅ Fact 1

An online translator handles one sentence at a time. An agent knows your glossary, your past translations and your tone, checks the numbers and flags what it isn’t sure it rendered well.

❌ Myth 2

“AI will replace proofreading.”

✅ Fact 2

It reduces proofreading, it doesn’t remove it. The right model: the agent produces 90% of the text and points to the 10% to check, and a bilingual person signs off.

❌ Myth 3

“My documents necessarily stay private.”

✅ Fact 3

Not with just any tool. A free version may keep your text or use it for training. Choose a business service that commits by contract not to, ideally hosted in Canada.

❌ Myth 4

“French can wait, our clients speak English.”

✅ Fact 4

In Quebec, the Charter of the French Language requires French for several business documents, such as catalogues, invoices and contracts of adhesion. The agent helps produce both versions at the same time. When in doubt, the OQLF is the reference.

The concrete gains

✅ What you gain

  • Bilingual documents the same day, rather than at the end of the week
  • The same vocabulary everywhere: website, quotes, invoices
  • The bilingual person reviews instead of retyping everything
  • English emails received, summarized in French in seconds

⚠️ What to accept

  • A glossary to maintain (it improves with every correction)
  • A human review for anything that commits the business
  • A paid business tool rather than a free version

Get started in four weeks

Week 1

The glossary

  • List 30 to 50 terms from your trade, with your in-house translation
  • Add product names that must never be translated
  • Gather 10 already translated documents you like

Week 2

One document type only

  • Pick a frequent, low-risk document (product sheets, template emails)
  • Have it translated, review it, note every correction

Week 3

Measure

  • Time spent before and after
  • Corrections per page
  • Add to the glossary every term corrected twice

Week 4

Expand carefully

  • Move on to quotes, with mandatory review
  • Decide in writing what stays off-limits (contracts, warranties)

If you already use Microsoft 365, see what Copilot can do (and must not do) before adding another tool. A translation agent also pairs very well with an agent that knows your company’s documentation. And for the overall framework, reread our 5 tasks to hand an AI agent and how to start safely.

At NeoTech, our AI and automation consulting helps you pick the tool, build the glossary and set the review rules, without your documents leaving an environment you control. If your teams already work in Microsoft 365, our Microsoft 365 services handle the setup.
