AI agent for bank reconciliation: month-end without chasing differences

Bank reconciliation is the task everyone pushes to the end of the month: comparing each line of the bank statement with what’s recorded in the accounting software, and explaining what doesn’t match. The simple cases go fast. It’s the others that eat up the evening: the deposit covering three cheques, the supplier payment that’s a few dollars off, the Interac transfer from a name nobody recognizes.

An AI agent can prepare this work: it reads the statement, suggests matches, and asks the right questions about differences. Your team approves. If the idea of an AI agent is new to you, our guide on which tasks to give an AI agent and how to start safely is a good place to begin.

One statement, six lines, six suggestions

Here’s what the month-end work screen looks like. Amounts, names and numbers are fictitious.

☰ Bank reconciliation: operating account, October (fictitious example)
Statement imported ➜ 6 unmatched lines ➜ agent suggestions
Date Bank description Amount (CAD) Agent suggestion Status
Oct 2 TRANSFER RCVD FICTIONAL CONSTR + 4,312.75 Invoice 1187, Fictional Construction Inc. (exact amount) ✔ Ready to approve
1Oct 6 MOBILE DEPOSIT + 2,900.00 Two invoices from the same customer: 1192 (1,450.00) + 1195 (1,450.00) ✔ To confirm
2Oct 9 PREAUTH PAYMENT SUPPL 88231 – 1,096.40 Supplier invoice for 1,101.40: 5.00 difference ? Bank fee or discount?
Oct 14 MONTHLY SERVICE FEE – 19.95 Expense “Bank fees”, as every month ✔ Usual rule
3Oct 21 INTERAC E-TRF M TREMBLAY + 650.00 No open invoice under that name ✋ A person decides
4Oct 27 ATM WITHDRAWAL – 400.00 No supporting document found ✋ A person decides

What the numbers show

  • 1A deposit covering two invoices: the agent suggests the combination, a person confirms.
  • 2A 5.00 difference: the agent doesn’t write it off, it asks whether it’s a fee or a discount.
  • 3A transfer with no invoice: maybe a deposit, maybe a mistake. The agent doesn’t guess.
  • 4A withdrawal with no receipt: the agent flags it and drafts the question for the right person.

The agent doesn’t try to settle everything. It sorts: what’s obvious, what needs confirming, and what it must not touch.

Bank reconciliation in four columns

We organize the work like a task board. Each statement line falls into a column, based on rules you set at the start.

Matched by rule 2

Monthly bank fees

Same amount, same description every month

🤖 A rule you approved once.

Insurance withdrawal

Fixed amount, fixed date

🤖 Assigned to the right expense.

Suggestion to approve 2

Transfer received = invoice 1187

Same amount and customer name

🤖 One click to approve.

Deposit = invoices 1192 + 1195

Combination of two invoices

🤖 Check that it was the same cheque.

Question to ask 1

5.00 difference with a supplier

Fee or discount?

🤖 Draft question prepared for the bookkeeper.

A person decides 2

Interac transfer with no invoice

Unknown customer in the system

🤖 Summary prepared, no entry made.

ATM withdrawal

No supporting document

🤖 Receipt request drafted.

Over time, some lines move from “suggestion” to “rule”: once you’ve approved the same match ten times, you can decide it becomes automatic. You make that call, not the agent.

What changes at month-end close

⏪ Month-end without an agent

  • Export the statement and open it next to the accounting software
  • Tick lines one by one
  • Figure out which invoices a lump deposit covers
  • Leave differences “for later”
  • Find unexplained amounts at year-end

⏩ Month-end with the agent

  • The statement is imported and pre-sorted before you arrive
  • Obvious lines wait for a one-click approval
  • Grouped deposits come with a suggested combination
  • Every difference gets its question, sent to the right person
  • A short list of what’s left to decide, nothing more

The gain shows up mostly as search time avoided and differences that no longer pile up. For your business, the size of it depends on your transaction volume and how clear your bank’s descriptions are: that’s what the read-only month lets you measure.

Who is allowed to do what

An agent that touches the books needs written limits. Here are the ones we suggest to start, to adjust with your accountant.

Who does what in bank reconciliation

AI agent Bookkeeper Owner
Read the statement and open invoices ✔ ✔ ✔
Suggest a match ✔ ✔ ✔
Confirm the match in the accounting software ✖ ✔ ✔
Create an adjusting entry ✖ ✔
After review
✔
Write off a difference or a receivable ✖ ✋
With approval
✔
Change an invoice or a payment ✖ ✋
Per your rules
✔
Access banking passwords ✖ ✖ ✔
Owner only

✔ allowed   ✋ with approval   ✖ never

The same principle guides our other finance agents, such as the supplier invoice agent, the accounts receivable and follow-up agent and the expense report agent. Together, they cover money going out, money coming in, and the reconciliation that checks both.

Four common myths

❌ Myth 1

“The agent will do the accounting instead of our accountant.”

✅ Fact 1

It prepares the repetitive work. Decisions (write-offs, adjustments, tax treatment) stay with your team and your accountant.

❌ Myth 2

“We’d have to give it access to the bank account.”

✅ Fact 2

No. We work with the statement export or the bank feed already connected to your accounting software, read-only. The agent never sees your banking credentials.

❌ Myth 3

“Our accounting software already does automatic matching.”

✅ Fact 3

Good: we keep those rules. The agent handles what’s left, like grouped deposits, differences and incomplete descriptions.

❌ Myth 4

“An AI that makes mistakes will throw off our financial statements.”

✅ Fact 4

Nothing is written without approval, and each suggestion shows its reasoning: amount, name, invoice number. A mistake is visible before it’s recorded.

⚖️ In Quebec: a bank statement contains personal information

A business statement contains names of customers, employees and sometimes individuals who pay you by Interac transfer. Law 25 therefore applies to what the agent reads.

  • We limit the agent to the accounts and months it needs.
  • We favour hosting in Canada where possible, and we tell you clearly where the data goes before go-live. If personal information must be communicated outside Quebec, Law 25 requires that transfer to be assessed first.
  • We check that the AI provider doesn’t use your data to train its models.
  • Export files are deleted after processing, on a schedule you set.

General information, not legal advice.

Getting started in five steps

1

Pick one account

Main operating account

Start with the account that has the most transactions. Credit cards and other accounts come later.

2

Start from history

3 months already reconciled

The agent learns your habits on months already closed: we compare its suggestions with what your team actually did.

3

Read-only first

Suggestions in a spreadsheet, nothing in the software

For a full month, the agent only suggests. You measure how many suggestions you approve as is.

4

Allow matching for obvious cases

Exact amount + known customer

Only when you’re comfortable, and only for the simplest category.

5

Review every month

15 minutes at close

What was rejected? Which rules should be added? The agent adjusts, you stay in control.

On the security side, the agent only gets what it needs: an export or read-only access, a separate service account, and a log of every suggestion. If your accounting software is online, we also check that multifactor authentication is on for every account that can approve. Our AI and automation consulting service frames these choices with you.
